Why ask for my contact details?

Onboarding · Profile

Your role personalises the dashboard: a CFO sees financial simulators first, while an HR director sees employer branding tools. Your phone and LinkedIn remain private, visible only to the Toppla support team and your organisation. You can edit or delete them at any time in My Settings > My Profile.

Open this feature
How does company search work?

Onboarding · Company

Toppla queries the official INSEE SIRENE API to retrieve your SIRET, intra-community VAT number and registered address automatically. If your company is missing — for example, recently created or entered with a partial name — enter it manually and complete legal information later in My Settings > My Company. Company size helps tailor employee features such as housing volume and team management.

Open this feature
What does this choice change?

Onboarding · Goal

Your selected role determines highlighted dashboard modules. Employers see contribution simulators, employee housing management, employer branding and requests. Providers see the company request marketplace, properties, proposals and alerts. Switch at any time in My Settings > My Profile. Existing data is preserved.

Open this feature
How are your needs used?

Onboarding · Requirements

Your priorities help highlight relevant dashboard modules, recommend templates and resources, and adapt default notifications and emails. The “Another need” field is read by our product team to prioritise the roadmap. Add or remove needs at any time in My Settings > Preferences.

What role do invitees receive?

Onboarding · Team

By default, members invited at this step join as Viewers, with read-only access to all organisation modules. Change roles at any time in My Settings > My Team: Viewer (read-only), Member (edit operational modules) or Administrator (full management, including invitations). Invitees receive an activation link valid for 7 days.

Understand estimated savings

Dashboard

Displayed savings come from your simulations (rent, contributions, tax). With one simulation, it is that simulation’s estimate. With two or more, the main figure is an average of your latest reports.

Understand the compatibility score

Proposal · Scoring

Unread matches

Marketplace · My alerts

Total count of requests matching your alerts that you have not viewed. A match becomes read when you click View in an alert’s recent matches. Matches also appear in the notification centre and by email at the frequency configured by Toppla (default: every match).

Open this feature
Property types

Marketplace · My alerts

List the types you want (e.g. “studio, t1, t2”, “house”, “coliving”). Matching ignores accents and case and accepts partial matches in both directions. Leave empty to match all types. “Studio Paris” matches “studio”; “Bright T2 flat” matches “t2”.

Target net rent

Marketplace · My alerts

The amount you actually receive (rent + utilities) after Toppla provider commission, Stripe and payout fees. Matching automatically applies a −20% tolerance (configurable by admins): a request at 80% of your target still triggers a notification. The request budget is converted to your net amount using reverse V2 pricing.

Simulators · Comparison

Price suggestion based on area and features

Property proposal

This amount is calculated from median rents in the requested area, adjusted for your property’s features (type, capacity, amenities, etc.). It aligns with the company’s stated budget and is a guide, not a requirement. You are free to offer a different amount. Staying close to the suggestion may improve your price compatibility score.

Open this feature
Monthly rent (excluding utilities)

Property proposal

Rent excluding utilities is your net rental income without recurring costs (water, shared electricity, building charges, etc.). This base is used to calculate Toppla commission and your provider net amount. Enter recurring charges separately below; do not include them here.

Open this feature
Monthly utilities

Property proposal

Recurring charges cover building service charges, fixed utility charges, shared water and electricity, refuse collection, etc. — everything other than rent itself. They are charged to the tenant in addition to rent but are NOT included in your Toppla commission calculation. Net provider amount = rent + utilities (the base is guaranteed after commission, Stripe and payout fees).

Open this feature
Monthly total (rent + utilities)

Property proposal

Monthly total = rent + utilities. This is the guaranteed NET amount after Toppla commission, Stripe and payout fees (V2 pricing adjusts the company invoice to keep this net amount fixed). It is also used for price compatibility: Toppla compares the total with the per-employee budget in the request. A closer total means a better match.

Fee acknowledgement

Property proposal

Ticking this box confirms you have reviewed the Pricing tab (right panel) and understood the breakdown: estimated net payout — what you actually receive, guaranteed at rent + utilities; Toppla fees — provider commission including VAT; Stripe fees — a variable percentage plus a fixed per-transaction amount. Once confirmed, you can continue.

How does an invitation work?

Choose the right role

Settings · Team

Roles determine what members can do. Admin: full control of members, billing and API keys. Manager: requests, properties and proposals. HR: employees and housing requests. Accounting: invoices and subscription. Developer: Connect, API keys and integrations. Viewer: read-only access. Change roles from the member row; permissions update on their next action.

Open this feature
Why a Developer role?

Settings · Team

The Developer role is for technical integrators connecting PMS, CRM or property hubs through Connect. They can manage API keys and access technical documentation without accessing billing, members or operational data. It suits external providers: the scope is strictly technical and auditable through API key logs.

Where can I find my Ubiflow credentials?

Connect · Ubiflow

Log in to espace-dev.ubiflow.net and open Settings > API. The 4 values (client_id, client_code, client_login, client_secret) are listed there. If the section is missing, ask your Ubiflow contact to enable access — it is free, on request.

Open this feature
How is my client_secret protected?

Connect · Ubiflow

The client_secret is transferred over HTTPS and encrypted in the database using pgcrypto. It is never displayed in plain text after saving; Toppla decrypts it only for server-side Ubiflow API calls. If in doubt, regenerate it in Ubiflow and enter the new value here; the old secret is revoked in Ubiflow.

Open this feature
Which sync frequency should I choose?

Connect · Ubiflow

Manual: start sync from Connect as needed, ideal for testing or stable portfolios. Every 6 hours: recommended for frequent listing changes. Every 24 hours (default): covers 95% of uses, keeping properties up to date in the morning and early afternoon. Change frequency at any time from the Ubiflow card in Connect.

Open this feature
What does Test connection do?

Connect · Ubiflow

Before saving, Toppla calls the Ubiflow API to verify all 4 credentials and check that your account exposes properties. If it fails, check client_code case (the “ag” prefix is required), copy client_secret directly from Ubiflow without extra spaces and retry.
